Administrative & Program Support

Preferred Qualifications

We are seeking Administrative support and a Program Coordinator to join our fast-paced Sales Enablement Team - Sales Factory. You will support Program Managers to coordinate various projects, events, and complex schedules in a high tempo environment. You will support 1-2 directors in expense, travel and diary administration. You will need to have a bias for action and be resourceful in order to excel in this self-help culture. You will bring a high-level of organisation, flexibility, and ownership to this role, with the ability to juggle multiple priorities, programs, and schedules while maintaining poise under pressure.

Required Knowledge, Skills and Abilities

* Previous administrative experience in a professional office environment
* Exhibits a professional, confident, and outgoing demeanour
* Possesses strong bias for action
* Excellent telephone etiquette
* Strong written and verbal communication skills
* Excels in a fast paced ambiguous environment
* Excellent Microsoft Office skills in particular Microsoft Outlook, Microsoft PowerPoint & Excel
* Well versed in producing management and board reports and documents of highly quality
* Excellent accuracy and attention to detail
* Ability to work under pressure
* Ability to manage multiple and competing tasks through prioritisation and manage time efficiently
* Demonstrates clear aptitude and efficiently acquires new concepts
* Genuinely interested in supporting and being a valued member of a dynamic team

Daily responsibilities would include but are not limited to:

Managing and maintaining Sales Factory Team calendar and Director(s) calendar

* Event Support to Sales Factory Program Manager - Organise:

* Room bookings
* Catering
* Printing, props, other resources
* Shipping to and from events
* Event Document Management (Oradocs, presentations etc.)

* Raise Purchase Orders for the department
* Organising travel for Director(s)
* Process expense reports for Director(s)
* Diary management for Director(s) and meeting scheduling
* Follow-up correspondence
* Tracking projects, programs, and team activities
* Support for Vendor Management
* Ordering new equipment and supplies
* Assemble information, format and prepare reports, presentations
* Assist with on-boarding and training of new hires on policies and procedures.
* Identifying opportunities for improving business and scheduling efficiency

Detailed Description and Job Requirements

Provides administrative/clerical and event logistic and coordinating support to a function, Senior Director and Director.

Spends less than 40% of time providing administrative support to relieve managers and staff of administrative and clerical details. Spends more than 60% of time on special projects. Projects may include equipment management, project coordination and logistics, assisting orienting new hires, group documentation and collateral coordination, analysis of basic spreadsheet models and tracking projects.

Works on assignments that are complex in nature where considerable judgement and initiative is needed in resolving problems and making recommendations. Ability to work in a dynamic fast paced environment. Knowledge of spreadsheet applications. Demonstrated strong organisational skills. Proactive and resourceful. Self-motivated. Proficient in desktop applications such as MS Word, Excel, PowerPoint, Outlook and email messaging tools, etc. 4 - 6 years of related experience.
