Are you able to support the Principal and PA in the management of the whole school diary?

I am currently recruiting for an experienced SIMS trained Office Administrator to work within a large team at a good secondary school in East Lancashire. The ideal candidate will have worked in a school office previously and will be able to multitask with tasks such as data input, answering phones, dealing with parents and supporting the Principal and PA in the management of the school diary.

- Managing and delivering full Secretarial support for the Management Teams and Teaching Staff ensuring complete confidentiality at all times.
- Ensuring the School branding and high standards of presentation are consistently followed in all internal and external correspondence, mailings and presentations.
- Supporting the Principal and her PA in the management of the whole School diary.
- Welcoming parents and visitors into the School, ensuring they sign in correctly and are given a visitors badge before being met by their host.
- Supporting pupils and staff with their enquiries into the School Office and following up on any actions as required.
- Answering incoming telephone calls taking appropriate action to ensure the caller's needs are met or queries answered.
- Support the School Office Receptionist/Administrator with undertaking the daily pupil attendance records and liaise with Teachers and Tutors concerning any missing pupils.
- Liaise as necessary with the Nursing Sisters and Boarding staff with any immediate medical request from pupils to attend the Medical Centre or requiring First Aid.
- Collating documents and preparing electronic mailings to parents.
- Taking minutes at meetings as required.
- Actively develop and support a team culture in the School Office and across the whole Administration Team.
- Working with the School Office Receptionists to ensure the Staff 'signing in' book is kept and the procedure is followed.
- Inputting information on the PASS management system as required.
- The ordering, management and distribution of stationery as required.
- Ensure that all administration areas used by the School staff are fully resourced.
- Ensure the maintenance of all the School Office equipment is undertaken.


- Experience of using SIMS system.
- Be fully aware of the School's Fire evacuation procedures and undertake the visitors and staff list checks during an Evacuation or a Fire Practice as required.
- To read and follow, the School's Staff Handbook, Health and Safety and all other Policy documents.
- To ensure information and any handover notes are shared with colleagues in the School Office as required.
- To attend and participate in Whole School meetings, statutory training days and events and Inset Days as required.
- Participating positively in the School's Staff Review scheme.
- A willingness to undertake the School's First Aid and Fire Marshal training programme.
