Bid Coordinator in Maidstone Kent!


£28,000 - £30,000

Reporting to the Estimating Director, the Bid Coordinator will ensure all timelines are met and that the bids submitted are as complete and accurate as possible. To be responsible for the efficient and effective running of the bid process, ensuring a high level of excellence at all time. Effectively overseeing and coordinating the Commercial, Technical, Quality and Legal elements of the tenders assigned to them.


* Liaison with the Estimating Manager and Directorship to coordinate and devise bid win themes for relevant opportunities prior to the commencement of tendering
* Review and prioritise bids
* Effective coordination of preparation of supplemental bid requirements
* Ensure early and close liaison between the Bid team and legal advisor to ensure contract negotiation / adjustments are suitably reflected within the financial element of the submission
* Generate tender numbers; update the CRM with latest opportunity details and updates
* Update the weekly Bid team tender programme for review
* Collation of written content, data and certificates from various sources within the business
* Quality check the assigned bid submissions, ensuring that the requirements of the client have been met, generic text is eliminated, that all the bid win themes have been articulated as well as possible and that the values and ethos of the business is accurately represented for submission to Estimating Director or Manager for final review
* Hands-on writing where necessary
* Coordinate clarification questions, forward to client, monitor responses and distribute these accordingly
* Ensure all proposals are formatted and comply with company brand and quality guidelines and customer requirements
* Regularly follow up on outcomes for all outstanding tenders, as indicated by the Estimating Director / Preconstruction Director
* Analyse bid feedback received and make appropriate adjustments and ensure on-going improvements for future bids
* Ongoing and close liaison with the Operations and HSEQ teams to implement new initiatives relating to the regular recording of bid-worthy data, photos and other information that can be used as evidence within future submissions Develop and maintain a central Knowledge Base of supplemental information for use within future tender submissions (Case studies)
* Co-ordinate bid team meetings as required (Launch, Settlement, Handover)

Minimum Qualifications/Experience

Relevant GCSE/ A-level education

Experience or background in the bid coordination and preparation

Proven experience of working in the construction / civil engineering sector (preferred)


Excellent knowledge and use of Microsoft Office tools and functions

Experience of using CRM and operational databases (preferred)


* Excellent time management skills in planning and prioritising tasks
* Ability to multitask to service multiple bids, and bid members
* Diligent, exceptional attention to detail
* Good commercial awareness
* Ability to work with minimal supervision
* Flexibility to adapt to changing circumstances and deadlines
* Good communication skills
