Salary: £22,000 - £28,000 dependant on experience

Weekly duties:

* Work with Estimating and produce a complete record of all tender documentation
* Move a copy of all Tender drawings and specifications into new contract folder and produce a Drawing Register.
* Enter the latest Tender Issue Revision for all Drawings and Specification issued at tender stage.
* Make contact with client's document controller on new projects and apply for Extranet access for any staff access to specific projects.
* Maintain a log of all Extranet access log in details
* Establish a reasonable understanding of projects and scope of works
* Establish a good understanding of extranet job specific requirements regarding protocol necessary for referencing documents.
* Attend any necessary site training seminars as necessary to keep updated of any project specific extranet modifications and fully understand what will be expected of us.
* Impart own Extranet site knowledge and any additional information acquired from any training seminars in training of staff as required.
* Work closely with site team and upload documents as required to Project Extranet site including drawings, Technical submittals and Request for Information.
* Download Issued documents from Project Extranet site and update Job file with latest information.
* Update Drawing Register to capture latest issues
* Prioritise, print off updated drawings and specifications and issue to site along with print off, of updated register summary. (Liaise and agree with site preferred size format for issue copies of drawings)
* Monitor issued comments from client / architects on any uploaded documents, track and pursue timely update responses from relevant staff or outside resource.
* Maintain a project specific log of RFI Request for Information issues
* Liaise with contracts and apply for staff and operatives Security passes required on any high security projects
* Chase all necessary supporting documentation required to be issued for successful Security pass clearance. Ensure safe return of all original documentation necessary to be issued during the application.
* Maintain log of all security passes

Operations & Maintenance

* Work closely with Buying department and build O&M Manuals as contract progresses and upload all appropriate documents
* Chase Suppliers and Subcontractors for back up data in a timely manner.
* Establish time dead line for completion of draft & final O&Ms


* Receive after contract defects notices and enter on Defects Register
* Issue copy of Defect notice to Aftercare Manager and relevant Contracts Manager a copy of the defect notices.
* Receive confirmation of defect from Contracts Manager that item is a defect that we are responsible for and update Register
* Aftercare Manager will make further contact to organise access & suitable to time to carry out defects.

Adhoc duties

* Work with and update / modify Company Presentation
* Adapt Company Presentation to the requirements of project specific marketing needs
* Formulate, print and produce presentation packs as required.

* Produce weekly time allocation sheet to breakdown work activities for internal costing purposes

Key attributes

* Good communications skills
* Good knowledge of Microsoft Excel / Word & Power point
* Good understanding of Extranet sites such as A Site / 4Project etc
* Must drive with access to vehicle
