Bid Coordinator


Up to £15 per hour

Our leading National Facilities Management client are seeking an experienced Bid Coordinator to joining a very successful team in the Bath office.

Duties Include;

* Supporting Bid Managers in the production of compliant and compelling tenders ensuring accuracy of written text and that final formatting meets company guidelines.
* To gain all the relevant experience in the various elements of sales and bid management to support the wider aim of generating new business
* Provide administrative support to the team including managing all business enquiries and OJEUs
* Preparation, administration, production and publication of customised bids and pre-qualification questionnaires for new, growing and retained business sales as appropriate.
* Work as part of a team ensuring tight deadlines are maintained for all bid proposal material
* Provide support to Sales Director, Business Development Directors, Bid Managers and other team members as required
* Adhere to all Quality, Health, Safety and Environmental policies and procedures
* Preparation and minute taking for meetings
* Complete Expressions of Interest, Requests for Information and Pre-Qualification Questionnaires under supervision within customer deadlines
* Contribute text to bid responses utilising pre-approved master data to meet internal customer and external customer deadlines
* Input to project timetables to ensure sufficient time is assigned to enable, preparation printing and delivery of documentation
* Manage team email in-boxes ensuring all emails are responded to in a timely manner and forwarded to the appropriate person
* Manage OJEU and client enquiries
* Admin tasks including formatting, proof reading, arranging print production, production of graphics, maintaining reports
* Maintaining and updating the weekly Bid Planner and distributing on a weekly bases
* Adhering to and improving administration processes and procedures
* Supporting Head of Bid Management, Bid Managers and BDDs with ad hoc projects as required
* Liaise with stakeholders including project team members, subcontractors and SMEs to support bid management in ensuring timetable deadlines are met
* Support the maintenance, implementation and review of bidding tools such as the bid library
* Quality assuring tenders in accordance with agreed production rules taking into account the design of the document
* Production of finalised customised bids, proof reading and version controlling to full sign-off levels to meet customer deadlines

Experience Needed;

* Relevant Bid Coordinator Experience
* Well developed interpersonal and oral communications skills
* Interpersonal skills and customer focused
* Ability to work on own initiative
* Good literate and numerical skills
* Diplomacy
* Ability to prioritise workload and work under pressure
