    We are looking for a Business Support Assistant for Carmarthen who will be flexible and ready to adapt new challenges.

    Location- Carmarthen

    Rate of Pay- £9.62/hr.

    Duties & Responsibilities:

    • Carry out reception duties at Parc Dewi Sant and in the other receptions of the Department and where required, redirect inquiries from service users, councillors and other visitors, whether in person, by telephone, by letter, or electronically, by do so as effectively, efficiently and courteously as possible and in compliance with the Authority's policies and procedures for bilingualism and customer care, although in order to improve the provision.
    • Carry out a range of business support functions within the Department to ensure compliance with all goals and the objectives of the Department.
    • GCSE or equivalent qualification including Math and English or Welsh Broad knowledge and understanding of the Department of Education's services and Children Knowledge of office systems and procedures.
    • Valid driving licence
    • Relevant IT skills e.g. European Accountable Driving License (ECDL), ITQ (or equivalent qualification).
    • To provide administrative support for the Corporate Services and Business Development Teams and to provide an initial and ongoing contact point for customers, staff and external agencies enquiries and referrals.
    • Good communication, writing, speaking and numeracy skills, The ability to respond positively to changing circumstances, The ability to work independently and as a member of a team in order to comply with strict deadlines and to work in a challenging environment
    • Administer the organisation of Outlook calendars, including vehicle calendars fund, while ensuring that the appropriate vehicle is allocated based on the distance of the journey: a meeting room calendars: receive information from those who want to book a place, and confirm the requirements, e.g. room layout, IT provision, translation and refreshments.
    • Maintain and check various databases and spreadsheets in the Business Support Unit, e.g. Weekly Catering Operations Forms, Free School Meals, Minutes Fund Vehicles, School Uniform Grant Scheme, etc., working within limits specified time.
    • Responsible for the day-to-day administration and coordination of the Car Fund facility, by including all maintenance arrangements, vehicle inspection, driver assessment and the work accompanying paper.

    • The ability to build good working relationships with staff at all levels
    • The ability to travel throughout the County
    • Responsible for carrying out various duties in terms of receiving, recording and distributing all incoming and outgoing correspondence, in accordance with the Council's agreed targets.
