Hours of work and Pay Rate:



* £12.50 PER HOUR to £13.50 PER HOUR
* Monday to Thursday 09:00AM to 17:00PM and Friday 09:00AM to 16:30PM with some flexibility to incorporate earlier starts.

Responsibilities:



* This role is to provide high quality, timely and efficient support to the EMEA Medical Operations Team which is responsible for organising events and seminars. Your role will involve assisting this team with all event-related filing, ensuring that their events have all required documentation in place to enable finalisation within iConnect (customer relationship management system used to track all events). Supporting the team in checking of data dumps and other administration relating to ToV (Transfer of Value) activities. Supporting the administration of the copy approval processes. Administrative support relating to the co-ordination of documentation requests during audits.
* Post-event fling and material approval - finalise events in the iConnect system - training will be given on this system.
* Ensure payments are accurately recorded to cover speaker fees and sponsorships, expenses and travel.
* Process presentations through the material review system to ensure that content is compliant.
* Audit Co-ordination - receiving requests from the auditors, co-ordinating communication to the relevant responder, and ensuring that replies are received and provided back to the auditors in a timely manner.
* Note-taking during audit meetings if required.
* Ensure that all activities are carried out in compliance with regulatory guidelines, Healthcare Compliance Business Integrity, and company policy
* Maintain open communication and cooperation with other individuals, colleagues and stakeholders to ensure knowledge exchange and sharing of good practice.
* Maintain a log of all events being managed, overseeing progress and actions.
* Ad hoc administrative tasks in preparation for events as well as collating delegate feedback,

Requirements:



* Excellent interpersonal, organisational skills, time-management skills and communication skills, both written and verbal.
* Proven skills in developing and managing varied relationships within and outside the company.
* Awareness of, or advanced training in, Healthcare Compliance Business Integrity (HCBI) an advantage.
* Previous experience in a finance role within the pharmaceutical sector would be useful.
* Detail focused in order to provide accurate data entry
* Sound knowledge of Microsoft (PowerPoint, Excel, and Word) are essential
* Resilient and flexible with the ability to work under pressure.
* Ability to work within a team, sharing responsibilities and workload to provide collective support to the business.
* Personal accountability for quality and accuracy in deliverables
* Confidentiality and ability to handle sensitive information
* Confident self-starter, able to work proactively, think ahead and multi-task with a positive 'can-do' attitude
* Flexible, proactive and willing to continually update own skills and knowledge

This assignment is to cover until the end of March 2020 but may extend beyond then depending on the outcome of future planning meetings etc.
