This is an excellent opportunity for an experienced administrator to join the team on a temporary to permanent basis and will be integral in supporting the leadership team and the wider business with planning and administrative duties.

Hours of work:

* Monday to Friday 09:00AM to 17:00PM


The role of administration assistant encompasses a wide verity of responsibilities including but not limited to:

* Conducts various analytical special projects, especially involving budgets and preparations for Senior management meetings. Ex: Monitors on a monthly basis travel expense and forecasts and monitors monthly travel for the leadership team.
* Coordinate executive's schedule, making appointments and establishing agendas. Arrange and coordinate business travel for executive. Coordinate Sector and department meetings, and arrange use of conference rooms or outside facilities.
* Acts as coordinator & approver for invoices. Has a thorough grasp of the company's policies and guidelines and ensures there is good communication with other Philips sites
* Performs administrative duties for Leadership Team. Work requires some analysis and use of initiative and independent judgement; to remain knowledgeable of corporate policies and will often called upon to interpret and communicate executive intent to other employees. This position may make contacts of a sensitive, complex, and confidential nature. Ensure appropriate storage and filing of such related documentation.
* Manages and monitors our daily management board, including updating the People section of the board with our latest Employee engagement survey data. Handles sensitive and confidential information requests and performs clerical functions such as preparing correspondence, receiving visitors, arranging conference calls, and scheduling meetings. May also train and supervise lower-level clerical staff.
* Serves as site administrator which includes first line contact for employees, investors, or other stakeholders inside and outside the organization. As a site administrator, works with Security, Facilities and Health & Safety partners.
* Acts as P-Card holder for RDD, ensuring relevant paperwork is maintained to comply with Financial audit requirements, including reconciling statements of account for both card types
* Assists with on boarding and off-boarding of all UK RDD associates, including ordering laptop, phone and IT support. Also includes collecting and following Philips checklists for on boarding and off-boarding associates
