Office Manager/ Accounts Assistant

A property construction company is looking for an office manager/accounts assistant who has experience in using SAGE to join their team on a permanent basis, it is a great opportunity to join a growing company based in Fulham.

Note: Experience with purchase ledgers, job costing's and using SAGE is important as training will not be provided.

Responsibilities:



* All invoices are processed within set timelines onto SAGE And resolve any queries following the business invoice query/rejection process.
* Direct debit payments are allocated to their respective invoices and costed in a timely manner.
* Supplier statements are reconciled to SAGE supplier account balances on a monthly basis.
* Invoices due to be paid are valid from a VAT and CIS point of view and fully compliant with HMRC regulations in force at the time.
* Supplier payment runs are carried out within the agreed Scheduled Payment timetable.
* Contingent workers - ensure all relevant paperwork and payments are maintained.
* New subcontractor accounts - Set up forms and information required on oracle.
* Sundry payments / cheques.
* Overseeing all health and safety in the yard and making sure all employees and visitors adhere to our health and safety policy.
* Co-operating with the employer on all safety matters
* Suggesting ways of eliminating hazards and improving working methods
* Warning new employees, particularly young people, of known hazards and office procedures
* Ensuring any relevant new safety information is made available to operational staff.
* Overseeing stationary levels at both the Luton and Kings cross offices
* Overseeing diaries of upper management within the business.
* Writing minutes from meetings.
* Overseeing new starter packs for new employees and company inductions.
* Ensuring the site H & S files are printed for new projects.
* Ensuring the relevant PPE is ordered and sent to site as part of the new site set up.
* Completing forms for supplier's accounts.
* Managing the file system in the office in line with the server template.
* Ensure the kitchen is cleaned and tidied by the unit team.
* Ensure the toilets are cleaned and tidied and stocked by the unit team.
* Update and monitor plant registers on live projects
* Review and update drawing registers on live projects.

Candidate Requirements:



* Have good attention to detail
* Previous experience working in a similar industry - rail, civil engineering, construction
* Experience working in the commercial sector - commercial administration, assistant / junior QS level
* Be technically strong and proficient user of Microsoft Office Packages inc Excel
