Personal Assistant

The role is to provide complete secretarial and administrative support to the Construction Director/Commercial Director in order to maximise the efficiency and productivity of the company.



* White City - West London Location
* £25K - £30K p/a + benefits

Key Responsibilities:



* Provide secretarial and administrative support for the Construction director / Commercial director.
* Preparation of all necessary documentation for upcoming meetings, including printing, photocopying, scanning and binding.
* Creating, formatting and updating documents using Microsoft packages.
* Copy typing, preparing agendas, minutes, memos, letters.
* Manage incoming post, correspondence and answering the telephone, taking appropriate messages.
* Diary management, booking of internal and external meetings, ensuring the diary runs efficiently at all times.
* Maintaining the filing system and archive accordingly.
* Liaise with external consultants and contractors.
* Liaising with other departments at all levels within the company.
* Collating and submitting monthly expenses for the Head of Production and Head of Commercial.
* Carrying out ad-hoc tasks as and when they arrive.
* Assist in the provision of reception cover during lunch (when required) and assist in the cover for administration team during sickness and holidays or other limited occasions when required.
* Organising ad hoc events as requested.

Candidates must have:



* Excellent time management skills, with good ability to prioritise and manage expectations effectively.
* Strong secretarial skills and good working knowledge of Microsoft Word, Outlook and Excel (2013 packages).
* Excellent communication skills, with strong ability to network and quickly build a rapport with team members who are not necessarily based in the office.
* Methodical approach to workload, with excellent organisational skills.
