Job Title - Reception / Office Co-ordinator

Sector - Facilities Management / Technical Services

Location - Chester, CH1

Salary - £17,000 - £19,000 (DOE) + 28 day's holiday (inc bank) + Great Package

The Company

This client provides high quality facility services designed to maintain the fabric and appearance of buildings. They provide facilities management; cleaning & hygiene services; maintenance and building services; catering; security; landscaping and a wide range of other tailor-made services for customers throughout the Public, Private and specialist sectors.

Job Role

The primary responsibility is to support the smooth running of the Reception/Facilities Services in the Chester Office of a well known engineering firm and ensure that the Client has a positive experience always when using the facilities in the office.

Job Description

Reception duties



* Answering central switchboard and directing callers to the appropriate section or staff member, taking and relaying messages
* Ensuring reception cover for all necessary tasks and absence
* Conference room bookings
* Processing of all aspects of mail (including special deliveries and courier arrangements and taking to PO at the end of day)
* Welcome visitors and follow the signing in procedure informing the correct member of staff of their arrival
* Booking of taxi / pool car / hire cars and raising corresponding Purchase Orders for these
* Ensuring Pool Car is maintained, arranging servicing and all record keeping, including mileage input
* Ensure reception area is clean and tidy and suitably stocked with engineering literature
* Ensure all conference rooms are clean and tidy, at all times
* Make necessary travel arrangements for staff when requested
* Printing / Binding documents including confidential shredding
* Ensuring new starter pictures are taken for access cards

Facilities duties



* Ensure the daily operation is carried out in a safe manner ensuring adherence to Risk Assessments, Method Statements and Risk Assessments including assisting HSQE in updating.
* In Collaboration with the UK Facilities Manager and the clients' Location Leader ensure that Protocols and manuals are kept up to date to ensure the efficient daily operations and knowledge sharing
* Regular contact with staff encouraging compliance with office rules such as clear desk policy through regular communication
* Ensure the Client and your employers Sustainability Model is followed in line with the standards outlined in EMS including data management
* Produce reports as requested from both your employer and the client
* Process the cleaners payroll twice monthly ensuring hours are inputted correctly.
* Manage Payroll related tasks for cleaners including new starters leavers and holiday and absence
* Raise and close reactive work orders and through MYMC Helpdesk for work related issues and ensure PPMS are closed as completed within the designated time restraints. Ensuring all records and up to date including Landlords areas ie: lifts etc
* Ordering/ensuring adequate stocks of stationery consumables including calc pads etc
* Stock take of Consumables on monthly basis
* Raise purchase Orders for your employer and orders for the Client and ensure stocktakes occur on monthly basis
* Ensure Hospitality is ordered (including milk) and the service managed within HSE Guidelines restocking and service cleans of Coffee Machines throughout the day.
* Super user for Audio and visual technology and tools used to enhance working practice including printers/plotters and ordering of all consumables
* Undertake dispute and error resolution with suppliers
* Liaise with internal and external clients on a regular basis in a professional manner
* A willingness to undertake industry accredited training
* To operate professionally within an office environment at all times
* Daily contact and Supervision with all other members of Facilities Team
* Daily contact with external parties and clients to establish progress and communicate any issues that require escalation
* Regular contact with Facility Manager, Subcontractors and engineers, including Contractor inductions and Landlord contractors and ensuring out of hours access for them.
* Co-ordination of IT equipment/mobile phones coming in/out of office.
* PPE Ordering of and record keeping
* Any other duties as reasonably requested by Management

Person Specification

Qualifications



* Educated to GCSE standard with at least 5 Grade C passes or above OR an NVQ qualification in Business Administration, Customer Service, ICT or equivalent.

Experience



* Previous experience in FM, building services or Hospitality and Catering
* Proficient in Microsoft Office programmes.
* Excellent communication skills.
* Evidence of working within a team, supporting and working with others to reach organisational goals.
* Organised with good planning ability, to organise / schedule events and activities.
* An aptitude for new and imaginative approaches to work related issues.
* Flexibility in the approach to work
