Business Support Assistant - Children's Services

We are looking for a highly skilled Business Support Officer to join our dynamic Children's Services team, dedicated to providing flexible and resilient support that directly impacts children's lives.
This role requires 5 weeks in the office and then 2 or 3 days of hybrid working. Are you able to demonstrate good organisation skills and have the ability to keep to strict deadlines daily? If so, this could be the perfect role for you.
Key Responsibilities:
Administration:
- Manage all incoming and outgoing correspondence (letters, emails, mail merges, verbal communications) professionally and efficiently.
- Maintain accurate electronic and paper records, ensuring proper file management.
- Gather and copy information for Data Protection Subject Access requests (DSARs).
- Take minutes for meetings, including occasional travel within and outside the County.
- Handle general administrative tasks such as photocopying, scanning, printing, room bookings, and travel arrangements.
- Perform database validation, reporting, and updates, adapting to new systems as they are introduced.
- Manage meeting bookings, diary scheduling, invites, and minute distribution.
- Oversee supplies and stock control (e.g., stationery).
- Conduct timely file audits to ensure all necessary documentation is present before transfer.
- Undertake ad-hoc administrative tasks as required by the service.
Finance:
- Manage petty cash and record all transactions in line with established procedures.
- Monitor and record the distribution of cash expenditure within the service.
- Support colleagues in monitoring and validating financial information (e.g., financial schedules).
- Process invoices and manage supplier contracts and purchase orders using relevant applications.
- Liaise with finance and suppliers to ensure smooth new user setups and timely invoice payments.
- Handle purchase card transactions and receipts, liaising with cardholders and budget authorisers.
- Escalate any financial issues to the Business Support Manager
Communication - First Point of Contact and Response:
- Provide professional handling of incoming safeguarding referral calls, taking messages and accurately recording contacts.
- Escalate serious issues to relevant Senior Managers.
- Maintain a strong presence in the office to offer consistent face-to-face support to Children's Teams.
- Regularly attend Digital Champions meetings and disseminate information to the team.
- Build trusting relationships through open and interactive communication.
- Validate and complete/record information using appropriate methods and tools (e.g., face-to-face, leaflets, noticeboards, HUB, Children's Services HUB).
- Troubleshoot and collaborate with colleagues to find solutions for issues.
- Support colleagues in gathering customer feedback to develop improved services.
Human Resources:
- Provide general administrative support to managers, including recruitment assistance (1:1s, appraisals, team meetings).
- Handle accident and incident reporting when necessary.
- Assist with the recruitment process, including invites, facilitation, and new starter/change/termination forms.
