A Birmingham-based University is seeking an experienced and highly organised Personal Assistant to provide professional, high-quality, and proactive administrative support to senior staff within one of its academic schools. You'll play a key role in ensuring the smooth running of day-to-day operations, managing complex diaries, coordinating meetings, preparing reports, and handling sensitive correspondence with discretion and accuracy. This is an excellent opportunity for an experienced PA who thrives in a busy, fast-paced environment and enjoys working collaboratively within a team.
Key Responsibilities
- Provide high-quality secretarial and organisational support to senior staff.
- Manage complex electronic diaries, prioritising appointments and scheduling effectively.
- Coordinate and support meetings, including preparing agendas, papers, and minutes.
- Draft professional correspondence, reports, and presentations.
- Handle incoming communications with professionalism and confidentiality.
- Maintain efficient filing systems and manage information flow effectively.
- Arrange travel, accommodation, and expense claims.
- Support event organisation and provide cover for colleagues as required.
About You
We're looking for someone with:
- Proven experience as a Personal Assistant, ideally within a large or complex organisation.
- Excellent IT skills, particularly in Microsoft Word, Excel, and PowerPoint.
- Strong organisational and time management skills with the ability to prioritise effectively.
- Exceptional attention to detail and accuracy.
- Excellent interpersonal and communication skills, both written and verbal.
- A proactive and flexible approach, with the ability to work independently and as part of a team.
- Discretion and professionalism when handling sensitive information.
- Experience of working in a higher education environment. - Desirable
Additional Information
The role is based in Birmingham, and the successful candidate may occasionally be required to work across different University sites.
Some flexibility to work outside normal office hours may be required to support key events or meetings.
