Personal Requirements:

- Good literacy and numerical skills.
Main Duties and Responsibilities:
Property Management:
- Manage property portfolio (RICS/ARMA compliance).
- Support Head of Property Management with service delivery and income targets.
- Handle leaseholder inquiries and communications (calls, emails, correspondence).
- Attend and minute resident and director meetings.
- Address lease contraventions and manage related files.
- Coordinate with legal/admin for abandoned vehicle issues.
- Ensure smooth property operations.
Budgets:
- Prepare service charge budgets according to lease terms and transfers, submitting draft budgets to Directors for review and approval before year-end.
- Promptly and professionally respond to Director queries concerning budgets.
Inspections:
- Ensure regular property inspections are conducted by Health and Safety inspectors and that all raised points are actioned.
- Arrange meetings and inspections for all managed properties.
- Verify that all necessary service contracts and annual inspections are in place.
- Conduct regular property inspections as per management agreements and as circumstances require.
- Upload inspection reports to Riskbase and notify clients.
Insurance:
- Oversee insurance for all properties in the portfolio, including handling claims, renewals, and policy inquiries.
- Liaise with Loss Adjusters, obtain quotes for remedial works, and oversee emergency repairs.
Maintenance:
- Contact contractors to confirm their ability to perform works and issue work orders, seeking Director authorisation when necessary.
- Monitor contractor performance, follow through on job completion, and update the Property Management System (PMS).
- Issue and monitor the safe return of keys to contractors, recording information in the Key book.
- Ensure key cabinets are secure and closed daily.
- Maintain an updated Approved Contractors List, ensuring all contractors hold Public Liability Insurance.
- Prepare specifications for cleaning, gardening, window cleaning, etc., issue tenders, and appoint contractors in collaboration with senior property managers.
- Issue contracts to contractors, ensuring compliance with current health and safety legislation.
- Conduct regular site inspections to monitor works and keep Directors informed of progress before authorising part or full payments, in conjunction with the Head of Property Management.
- Ensure all contracts and schedule of works for properties are entered and updated in the computerised system.
- Advise all lessees and/or tenants of impending works.
- Regularly monitor contractor performance.
