As a candidate, we collect and process the following personal data about you to provide our matching services, communicate with you, and comply with legal requirements:
- Identification and contact data: Your name, contact information (including email, home address, and phone numbers), citizenship, country of residence, date of birth, gender, digital signature, languages spoken, and immigration status.
- CV/resumes and professional information: Your work history, skills, experience, educational background, interview notes, job title, and personal data included in cover letters or references.
- Compensation and benefits information: Data relating to your current compensation, including recurring payments, benefits, and bonuses.
- Government-issued identifiers: Your national identification number, social insurance/security number, and driving license number, as legally required.
- Special personal data: Where necessary to comply with legal obligations, we may process data about race or ethnic origin, health, trade union membership, or criminal records.
Event and visitor information: Photographs or video footage from recruitment events, and visitor information (such as car plate numbers, CCTV footage, and health disclosures) when accessing our buildings.
how do we collect your data?
This data may be obtained directly from forms you complete, interviews, and direct correspondence. We may also collect it indirectly from public social media profiles, Randstad clients, third-party referrers, and background check providers. If we obtain your data indirectly, we will inform you of the source within one month or when we communicate with you, unless providing this information requires disproportionate efforts.
The myRandstad App, Digital Marketplace, and Automated Decision-Making
Randstad utilizes innovative HR technologies to automate recruitment and placement processes. Through the myRandstad App's digital marketplace, automated decision-making evaluates your personal data and uploaded documents (such as certificates and licenses) against predefined rules to automatically validate you for specific job profiles and match you to suitable roles.
This means decisions regarding your eligibility for certain roles are made without direct human involvement to ensure consistent and fair assessment. The legal basis for this processing is contractual or pre-contractual necessity, as it enables your participation in the digital marketplace.
Your Choices and Human Intervention:
This automated assessment significantly impacts your access to job opportunities, as eligibility directly determines which jobs you are able to pursue. If you believe an automated decision is incorrect, or if you wish to have a human review your profile and job matching, you have the right to request human intervention by contacting ai-escalations@randstad.co.uk.
how long do we keep your personal data?
We will retain your personal data based on the following timelines:
2 years from our last interaction with you for the purposes of providing our Services.
5 years from the date your permanent role begins, if we have placed you in a permanent role.
3 years from the date we created your record in our database, if the above do not apply.
7 years for certain pay-related and financial information, to comply with our legal obligations.
We may retain your personal data for longer if it is necessary in connection with an actual or potential legal dispute.
