what personal data do we collect about you?

When you are a temporary worker on an assignment, we may process various categories of personal data to manage your employment, ensure you are paid correctly, and comply with our legal obligations. This includes:

  • Identification and contact information: Your name, contact details (email, home address, phone numbers), citizenship and country of residence, date of birth, gender, digital signature, languages spoken, and immigration status.
  • Government-issued identifiers: National identification number, social insurance/security number, and driving license number, as legally required.
  • Professional and performance data: Your job title, department, employment status, work history, skills, educational background, CV/resume, interview notes, and information on your performance reviews.
  • Financial, compensation, and salary information: Bank account number, bank details, VAT number, recurring payments, benefits, and bonuses.
  • App Usage and Feature Data: To manage your job relationship efficiently, we collect data via the myRandstad app. This includes your shift scheduling, availability, contracting features, valid ID cards for onboarding, tax forms, work time and absences (time-keeping), expense administration (e.g., travel costs), salary slips, overview of payments received, and any performance feedback provided through the app.
  • Time, attendance, and device usage records: Information gathered from swipe card systems, time management systems, and time clock records. We may also process information related to your use of Randstad devices and networks, such as browsing history, email, and internet use at the workplace.
  • Family and dependent information: Details regarding family composition, emergency contact information, and special needs or educational requirements for dependents.
  • Travel and vehicle information: Travel itineraries, expenses, license plate numbers, parking tickets, and driving fines.
  • Health, safety, and special categories of data: Where legally required or necessary for health and safety, we may collect health-related information (injuries, incident reports, sickness, absences, maternity leave, viral infections), information revealing your ethnic origin, or trade union membership. We protect and secure this sensitive information in a manner consistent with applicable laws.
  • Security and visitor information: CCTV footage, access control card details (which may contain your photograph and employee number), and building visitor information.
  • Disciplinary and grievance information: Information relating to disciplinary measures or reports made through our dedicated channels, such as the Integrity Line for reporting suspected misconduct.

how do we collect your data?

This data may be obtained directly from you, from the public domain, or from third parties. Third-party information might include references, the results of state criminal record checks, credit checks, or financial sanctions checks. If we obtain your data indirectly, we will inform you of the source and purpose when we communicate with you, or within one month of obtaining it, unless providing this information requires disproportionate efforts.

how long do we keep your personal data?

To align with our data protection obligations, we apply the following retention periods to your personal data:

  • 5 years from the last day you worked on a temporary assignment.
  • 3 years from the date we created your record in our database, if you did not undertake an assignment.
  • 7 years for certain pay-related and other financial information, in order to comply with our legal, tax, and regulatory obligations.

We may retain your personal data for a longer period if it is necessary in connection with an actual or potential legal dispute (e.g., to establish or defend legal claims), in which case we will keep it until the dispute is resolved.
