Congress & Events Coordinator (24-Month Contract)
Salary: €45,000 - €50,000 per annum (DOE) Contract Type: 24-Month Contract
The Role Are you a highly organized and proactive events professional looking for a new challenge in a global environment? We are seeking a dynamic Congress & Events Coordinator to manage international congresses and high-impact events. This role is part of a global commercial center of excellence, supporting the execution of both owned events and major international exhibitions to strengthen brand presence and stakeholder engagement.
Key Responsibilities
End-to-End Event Coordination: Support the planning and execution of congresses and exhibitions, including venue research, supplier liaison, and delegate management.
On-Site Logistics: Coordinate travel, accommodation, registration, and on-site support during event setup, live execution, and breakdown.
Budget & Administration: Track event budgets, manage invoices, purchase orders, and expense reporting while preparing detailed post-event ROI and performance reports.
Stakeholder Collaboration: Liaise with internal marketing, sales, and communications teams, as well as external agencies and venues, to ensure flawless execution.
Marketing Support: Work with digital teams on event registration pages, surveys, and social media promotion to enhance the customer journey.
Operational Excellence: Ensure all event activities strictly comply with internal policies, health & safety, and data privacy standards.
Requirements
Experience: 3+ years of relevant experience in managing congresses, events, and meetings.
Industry Knowledge: Experience in the life sciences or a related regulated industry is a significant advantage.
Technical Proficiency: Strong skills in Microsoft Office (Teams, Zoom, Excel) and familiarity with project management platforms like Asana.
Communication: Excellent interpersonal skills with the ability to manage complex projects and diverse stakeholders simultaneously.
Travel: Willingness to travel approximately 20% of the time to support on-site activities.
