HML is a property service group. The business specialises in the management of blocks of flats and offers other related services such as insurance broking, lettings management, surveying, company secretarial and the provision of concierge staff. The Group has revenues of approximately £31m and has approximately 650 staff, 180 of which are based on site at clients' buildings. We also administer the employment (payroll and HR support) for a further 150-200 staff employed directly by our clients.
Headquartered in Richmond the group operates from 24 locations across England. The highest concentration of staff is in the South East of England.
Role Purpose
To offer the highest standards of service to landlords and tenants. As a Portfolio Manager you will be responsible for a property portfolio, its ongoing maintenance, Lettings and asset management, rent collection and records/reporting via the property management software system and ensuring all property is compliant in respect of existing legislation.

Main Duties and Responsibilities
RESIDENTIAL LETTINGS AND PORTFOLIO MANAGEMENT
- Manage a portfolio of property's toward financial targets and investment returns as detailed by the Senior Lettings Manager or Senior Property Manager.
- Minimise void periods and costs
- Liaise with third party suppliers such as Letting Agents, Relocation Consultants to assist maximum occupancy and minimal void periods
- Interact with internal and external Build to Rent (BTR) Operators to gain additional portfolio and units and achieve growth targets
- Support and assist the Senior Lettings Manager/Senior Property Manager in meeting expected targets for revenue, growth and customer satisfaction
- Provide direction and advice for existing Clients and Investment Managers on new opportunities and better portfolio returns.
- Liaise with all Third parties for good management of the Asset including Block Managers, Surveyors, Solicitors, Estate Agents, Inventory Clerks, etc
PROPERTY MANAGEMENT
- Manage the portfolio in accordance with ARLA Codes of Practice.
- To provide a full professional letting and property management service for new and existing clients.
- Dealing with landlord and tenant enquiries swiftly and in detail where necessary.
- Responding to correspondence/emails including those from landlords, tenants and third parties and internal colleagues and stakeholders in a timely manner.
- Reporting all activity and management information regularly to the Senior Property Manager
- Updating the relevant Property Management software system (Reapit) on all activity, occurrences and notes.
- Ensure the property portfolio operates as smoothly as possible.
- Complete regular training and updates where necessary.
BUDGETS
- Assist the Senior Property Manager with forecasts, budgets, reports and financial management of the portfolio.
- Liaise with Client Accounts to provide landlords and tenants with financial statements and data pertaining to their property.
INSPECTIONS
- Arrange meetings and inspections for all properties managed in accordance with Terms of Business. policy.
MAINTENANCE
- Ensure that all contracts and schedule of works for all properties are entered on the computerised system and updated.
- Advise all landlords and tenants of impending works, etc.
- Monitor contractor's performance regularly.
MANAGEMENT
- Liaise and work alongside colleagues in all HML functions
- Provide support to the team.
- Represent the Branch at Regional meetings and to HML greater business.
- Maintain up to date knowledge and familiarity of the existing Property management software system (Reapit)
- Record all activity, occurrences and notes on the system.
SERVICE CHARGES
- Liaise with Block Managers to ensure service charges are maintained and up to date.
GENERAL
- Check, code and input invoices.
- General Filing and system updates (Reapit)
- Any other duties as directed.
PERSONAL REQUIREMENTS
- ARLA qualified
- Understanding of Property Management software systems. (ideally Reapit)
- Good understanding of Residential Property Management and current legislation
- Well-developed interpersonal and oral communications skills.
