Job Summary
We are seeking a highly organised and detail-oriented Administrative Assistant (Level II) to provide comprehensive administrative support to a department or senior individual. This role requires a proactive and resourceful professional with excellent communication skills, a high degree of accuracy, and the ability to manage multiple priorities in a fast-paced environment.
Key Responsibilities
- Prepare, create, and submit expense reports using Concur.
- Maintain filing systems and ensure accurate record-keeping (digital and physical).
- Coordinate office activities, including ordering and managing supplies.
- Receive and direct visitors in a professional manner.
- Schedule meetings, appointments, and conferences, including venue booking and agenda preparation.
- Support financial record keeping and reporting as required.
- Distribute incoming mail and manage outgoing correspondence.
- Work on assigned special projects, ensuring timely delivery and attention to detail.
Requirements
Proven administrative experience in a corporate or professional services environment.
Proficiency in Office 365 (Word, Excel, PowerPoint, Outlook).
Experience with Concur expense management system.
Strong organisational and time-management skills.
Excellent written and verbal communication abilities.
Ability to handle confidential information with discretion.
Flexible and adaptable with a proactive approach to problem-solving.
