We are seeking a highly organised and proactive Administrative Assistant to support the Student and Academic Services team for a 12-week period. This is a great opportunity to join a dynamic environment and provide essential support to ensure smooth delivery of key operational and administrative processes. Enrolment Support Assistants will assist with the delivery of enrolment activities in preparation for the new academic year.
Key Information:
- Location: Two main campus sites Birmingham central
- Hours: 37 hours per week, Monday to Friday
- Start Date: ASAP
- End Date: November 2026
- Pay Rate: Scale 4 equivalent - £24,814 per annum (£12.90 per hour)
- Line Manager: Enrolment Services Manager (subject to change)
- Office-based: Required on-site full-time from January; hybrid working may be possible beforehand
Key Responsibilities:
- Respond to enrolment queries via phone, email, and WhatsApp
- Send WhatsApp messages via a web browser
- Support on-campus enrolment activities, including checking in students, printing ID cards, and preparing the enrolment area
- Maintain accurate student records and update enrolment systems in line with university procedures
- Assist with verifying student documentation, including ID checks and qualification evidence
- Provide clear guidance to students regarding enrolment requirements, deadlines, and next steps
- Escalate complex or sensitive issues to senior colleagues in a timely manner
- Contribute to general administrative tasks such as filing, data entry, and preparing information packs
- Help manage student flow during peak enrolment periods to ensure an efficient and positive experience
Person Specification:
- Strong IT skills and confident using digital communication tools
- Excellent customer service and interpersonal skills
- Ability to work independently and use initiative
- Must be comfortable working on-site every day from September
- Strong organisational and time-management skills, with the ability to prioritise tasks effectively
- High accuracy and attention to detail when handling data and student information
- Ability to remain calm and professional during busy periods
- A proactive, flexible approach to supporting team needs during peak activity
- Experience working in a customer-facing or administrative role (desirable)
