Job Title: Visitor Experience Officer

Hours: Part Time Hours - 4 days per week Mon-Thurs x 18.5 Hours
Salary: AG8 - £14568 per annum
Visitor Experience Officers are usually the first person visitors will meet in Parliament Buildings. The successful applicant will be responsible for meeting and greeting visitors; signposting and providing information; reception duties; signing visitors into the Building; issuing security passes; conducting a range of guided tours and providing administrative and operational support as required by the team.

What we need from you
- Availability to work Monday 9.30am-2.30pm and 10am-2.30pm on Tuesday, Wednesday & Thursday
- Willingness to complete a Basic Access NI check
- Completion of mandatory training to include First Aid, Fire Safety, Fire Evacuation, Safeguarding & Child protection policy
Essential Qualifications
'A' level passes A*- C in 2 separate subjects and 5 GCSEs at grade A*-C including English Language and Maths. AND At least 2 years' experience in a customer focused role with the following duties:
- a) Providing information verbally in a clear and engaging manner to a diverse range of people at all levels, including members of the public, team members, and managers.
- b) Working as part of a close-knit team to deliver a range of customer focused services to a high standard
- c) Problem solving, organising workload and giving attention to detail to ensure excellent service delivery
- d) Using effective written and administrative skills to produce clear, accurate, high quality work to deadlines.
OR At least 4 years' experience in a customer focused role as outlined in points a-d
Role Responsibilities
- Providing high quality customer service to a diverse range of stakeholders and visitors, greeting visitors at reception and providing information & security passes
- Providing tours of Parliament Buildings to a wide range of audiences in a confident, inclusive, politically neutral and engaging manner
- Assisting the Visitor Experience Management team to continuously improve the experience & share ideas
- Assisting with event management, problem solving and assisting event organisers as required
- Working closely with colleagues within the Visitor Experience team, being flexible and dynamic in relation to service delivery
- Managing electronic mailboxes, phone calls and dealing with routine correspondence accurately and promptly
- Gathering information and feedback and using Microsoft Office and bespoke internal Assembly software systems and databases effectively to prepare documents
- Providing high quality and timely administrative support, filing, photocopying and diary management
- Inputting data and maintaining records in databases, spreadsheets and electronic filing systems
- Organising and providing support to meetings, events and visits including issuing papers, ordering hospitality, meeting and greeting external visitors and officials, and responding to any queries
- Recording information to support the production of minutes and draft minutes
- Checking and processing invoices for payment through electronic payment system
