Role Purpose
The Conveyancing Manager will be responsible for the day-to-day management of the Conveyancing Administration team during a period of maternity cover. Working alongside the Head of Legal & Company Secretarial Services, the role holder will ensure the department continues to deliver a quality, efficient and customer-focused service across Pre-Contract Enquiries and post-completion matters.
They effectively communicate company and departmental goals, ensuring team members remain motivated and aware of deadlines. Regular assessments of team performance are conducted, and management is kept informed through regular communications. This individual also plays a key role in hiring and training new employees, while ensuring policies are communicated effectively across all levels. Additionally, utilising performance management tools, they produce reports that provide senior management with the necessary insights to make informed decisions. Leadership is a critical aspect of this role, as they guide and support other members of the CoSec and Team to achieve organisational objectives.
Primary Responsibilities
As Conveyancing Manager, your responsibilities include overseeing the day-to-day management of a team responsible for Pre-Contract Enquiries and post-completion matters across the group. To excel in this position, your duties and expectations should include:
... - Manage the daily operations of the conveyancing team, providing clear direction and oversight during the fixed term maternity cover period
- Support the delivery of departmental objectives and ensure team activity remains aligned with company priorities.
- Act as a key point of contact for senior management on operational matters, helping to ensure smooth day-to-day running of the team.
- Provide leadership and direction to the team by effectively delegating tasks, organising regular one-to-one meetings, conducting performance reviews, and managing absences, holidays, and staffing cover.
- Set clear individual and team objectives and targets, regularly monitoring performance against them, and taking corrective action where necessary.
- Maintain centralised systems to efficiently monitor administrator workloads and ensure compliance with the Conveyancing Administration Service Level Agreement.
- Gather and analyse cross-functional performance data, create reports, and provide valuable insights.
- Ensure policies and procedures related to employee performance are communicated effectively, identifying areas for improvement where required.
- Proactively identify, report, and resolve any workplace or interpersonal barriers to performance that may arise.
- Conduct regular audits of documentation sent to clients, such as sellers' packs, completion documentation, and other relevant information.
- Support portfolio reviews and assist with identifying resourcing or recruitment requirements where required.
- Organise and manage team training, and ensure they are adequately prepared and resourced.
- Monitor financial targets and take corrective action if required to meet or exceed targets.
- Review departmental processes to improve efficiency and maximise income potential.
- Support the integration of acquisition portfolios when requested by Partners/Acquisitions Integration team.
- Provide encouragement and support to team members, effectively communicating team goals and identifying areas for new training or skill checks.
- Assist with the recruitment and training of new team members.
- Be available and accessible to the team members, answering their questions, addressing their concerns, and ensuring compliance with the departmental policies and performance goals.
- Conduct regular team meetings to communicate best practices, set continuing expectations, and share updates.
- Generate comprehensive and detailed reports on team performance, objectives, and deadlines, and ensure these are effectively communicated to stakeholders.
- Provide quality customer service to internal and external customers, interacting with them, answering their enquiries, and handling their complaints effectively.
