We are seeking an experienced and proactive Commercial Property Manager to oversee the day-to-day operations, tenant relations, compliance, and financial management of a premier single-site commercial property in North West London.
This role is responsible for driving asset performance, maintaining operational standards, and leading financial planning-including the preparation, setting, and reconciliation of annual service charge budgets and capital expenditure plans.
Key Responsibilities
Financial & Service Charge Budget Management
- Prepare, set, and implement comprehensive annual service charge budgets and operational expenditure (OpEx) plans.
- Monitor real-time spend against budgets, managing variances, forecasting year-end positions, and issuing regular financial reporting to stakeholders.
- Manage end-of-year service charge reconciliations, balancing accounts in compliance with RICS Professional Standards.
- Identify cost-saving opportunities and efficiency improvements across vendor contracts and site utilities.
Site Operations & Health & Safety Compliance
- Oversee all day-to-day hard and soft facilities management services (security, cleaning, M&E maintenance, waste management, and landscaping).
- Ensure strict statutory compliance with UK Health & Safety regulations, Fire Safety Orders, risk assessments, and environmental standards.
- Schedule and conduct regular site inspections to ensure high maintenance standards, structural integrity, and safety compliance.
- Plan and manage capital expenditure (CapEx) and planned preventative maintenance (PPM) projects alongside building surveyors.
Tenant Relations & Lease Management
- Serve as the primary point of contact for all site tenants, cultivating strong professional relationships.
- Ensure compliance with lease terms by both landlord and occupiers.
- Coordinate tenant applications, alterations (Licence to Alter), sub-lettings, and assignments in line with lease terms.
- Handle lease events, including rent reviews, lease renewals, tenant move-ins, and departures.
Contractor & Supplier Management
- Tender, procure, and manage third-party service contracts, ensuring value for money and service-level agreement (SLA) performance.
- Ensure all on-site contractors hold valid insurance, RAMS (Risk Assessments and Method Statements), and work permits.
Required Experience & Knowledge:
- Commercial Real Estate Experience: Minimum 3-5 years of commercial property management experience (office, retail, industrial, or mixed-use commercial).
- Financial Acumen: Direct experience preparing and setting annual service charge budgets and managing accounts under RICS guidelines.
- Lease Knowledge: Sound understanding of commercial property law, landlord & tenant legislation, and lease structures.
- Compliance Expertise: In-depth knowledge of health and safety, fire safety regulations, and building compliance.
Certifications & Systems:
- Qualifications: AIRPM, MIRPM, or RICS accreditation (or working towards) strongly preferred.
- Health & Safety: IOSH or NEBOSH certification is advantageous.
